Customs clearance of export

The following documents are required for efficient customs clearance when exporting goods:

  • Online application – filled out directly on our website.
  • Application to customs authorities – for goods worth up to €1,000, it is necessary to obtain approval with the sender’s signature and seal. A sample is available for download.
  • Waybill – provided by the company.
  • Invoice, packing list, specification, contract – bilingual documents (in Ukrainian and English), signed and stamped by the sender.
  • Customs accreditation card – in electronic form.
  • Customs declaration – a standard document for customs procedures.

Additional documents may be required depending on the product:

  • Gemological certificate – for goods containing precious metals or stones.

Customs clearance of imports

The import process has its own peculiarities. For customs clearance of imported goods, it is necessary to have:

The formula for calculating customs duties is as follows:

  • Import duty: (€200 – €150) × 10% = €5
  • VAT: (€200 – €150 + €5) × 20% = €11

What documents are required from an individual to complete the shipment?

To send a shipment from an individual, please provide the following documents:

  • A copy of your passport – to confirm the identity of the sender.
  • Customs declaration – in cases where the parcel is subject to customs clearance. Our specialists are ready to assist with the preparation and completion of the declaration.
  • Confirmation of the cost of the goods – this can be a receipt or a link to a website indicating the cost of the goods (if possible).

What documents are required from a legal entity to send a parcel?

To send a shipment from a legal entity, please provide the following documents:

  • Invoice or pro forma invoice – a document confirming the value of goods. If necessary, our specialists will help you fill it out.
  • A packing list is a list of goods with a description of the contents of the shipment. We are also ready to help you fill it out.
  • Additional documents (if required by the nature of the cargo) – these may include certificates of conformity, permits, conclusions, or other confirmations that are required for specific goods.

For legal entities, the rules for completing documents depend on the cost of shipment:

  • If the value is less than €1,000, after consultation with currency control, it is possible to register the shipment upon request with the company’s stamp and signature.
  • If the value exceeds €1,000, an export declaration must be completed. You can use our customs broker services and assistance in preparing the necessary documents.

How does customs clearance work in Ukraine?

The customs clearance process in Ukraine will depend on the price of the parcel:

  • Up to €150 – no taxes or duties will be charged.
  • Over €150 – taxes and duties are charged, the amount of which depends on the specifics of the parcel.

Important: Customs has the right to verify the declared value of the parcel. Additional documentation may be required to confirm the price.

How does customs clearance work in other countries?

Customs clearance abroad is influenced by the customs regulations of the specific country:

  • EU countries: regardless of the cost of the parcel, taxes are charged. 
  • The United Kingdom: taxation of goods worth more than €135.
  • USA: goods worth up to USD 800 are not subject to taxes and duties. Above this limit, charges are applied depending on the type of parcel.

How is the weight of a shipment calculated?

There are two main methods for calculating the weight of a shipment:

  1. Actual weight – direct weighing of the parcel on scales.
  2. Volume weight – calculated using the formula:Volume weight=Length (cm) × Width (cm) × Height (cm)÷5000​
  3. If the cargo is oversized or non-standard, the following formula may also be used: LDM=Length (m) × Width (m)÷2,4​

What personal data is required to process a shipment?

The following information about the sender and recipient is required to process the shipment:

  • Full name – given name, surname, patronymic.
  • Phone number – to ensure reliable communication, only provide local numbers in the sender’s and recipient’s countries.
  • Country – where the parcel is sent from and to.
  • City – place of departure and delivery.
  • Street and building (apartment) number – full address for accurate delivery.
  • Postal code.
  • Company name – if the sender or recipient is a legal entity.
  • Declared value of goods – for customs clearance and shipment insurance.

What are the terms and conditions of the “standard” option?

The “Standard” delivery option allows you to send parcels to EU countries under the following conditions:

  • Delivery geography: only shipments to European Union countries.

  • Contact with the recipient: the courier agrees on the delivery details with the recipient by phone.
  • Delivery time: average delivery time is 5 to 8 calendar days.

What are the terms and conditions of the “express” option?

The “Express” option is fast and convenient delivery under the following conditions:

  • Delivery geography: worldwide, except for a few countries with restrictions.
  • Door-to-door delivery: the courier delivers the parcel directly to the recipient’s doorstep.
  • The courier contacts the recipient by phone.
  • Delivery time: average delivery time is 3 calendar days, ideal for urgent shipments.

The “Express” delivery is convenient and reliable.

What goods are prohibited from transport (most popular)?

Below is a list of popular items prohibited for transport:

  • Food and food products – prohibited due to sanitary and epidemiological requirements.
  • Medicines – medicines require special permits or licenses.
  • Cash and cash equivalents.
  • Excise goods – alcohol, tobacco, and other goods subject to excise taxes.
  • Combustible materials – gasoline, alcohol, and other hazardous liquids that may pose a threat to transportation.

Is there insurance for the shipment?

Yes, shipment insurance is included in the delivery cost for both options:

“Standard” option – insurance coverage up to €2,000.

“Express” option – insurance costs €25 per kilogram of cargo or up to €92 per parcel, depending on which is more advantageous for you.

What documents are required for shipping goods of cultural value?

Documents required to ship goods of cultural value:

  • Conclusion from the Ministry of Culture of Ukraine.
  • Gemological report – for precious stones or jewelry.
  • Conclusions from the Ministry of Internal Affairs or other institutions – depending on the nature of the goods, conclusions from other authorities may be required, for example, regarding antiques, weapons, or special products.

These documents confirm that the shipment is permitted for export.

What is an invoice?

An invoice (or proforma invoice) is a document containing a detailed description of the contents of the parcel and indicating the cost of each item. An invoice is required for customs clearance. It also contains the terms of delivery, the name and quantity of the goods. 

For individuals, a pro forma invoice is often used – this is a preliminary invoice drawn up by the individual. It must contain a complete list of goods, their quantity, and cost. This is necessary for customs authorities to determine the required payments or taxes.

What is the maximum weight of a shipment that can be transported?

The maximum weight of a shipment is:

  • “Standard” option – up to 31 kg.
  • “Express” option – no weight restrictions.
